As a private race company operating in British Columbia, we collect certain personal and demographic information from race participants to help us plan and improve our events.

We handle this information in accordance with the Personal Information Protection Act (PIPA), which governs how private organisations in BC collect, use, and protect personal data.

What information do we collect?

We collect:

  • Personal Information, such as your name, email address, and contact details (including emergency contact details), and payment information
  • Demographic Information, including age, gender, and location
Why do we collect this information?

We use personal information to:

  • Communicate with participants
  • Manage the event

We use demographic data to:

  • Analyse participation trends
  • Enhance race planning and logistics
  • Share anonymised statistics with sponsors and stakeholders
How do we use and protect your data?
  • All data is aggregated and anonymised before analysis or reporting
  • We do not use this information to identify individuals
  • We do not sell or share personal data with third parties
  • We implement safeguards to protect your data from unauthorised access or misuse
Use of a third-party booking platform

We use Race Roster as our official registration and booking system. When you sign up for an event, your personal information (such as name, contact details, and payment information) is collected and processed through Race Roster’s secure platform.

On some occasions, we use Google Forms to collect participant requests to drop to a shorter race distance. The information submitted is stored securely in our Google Drive, which is hosted on Google’s global infrastructure. This means your data may be stored or accessed from servers located outside of Canada. Access is limited to approved members of our organising team and is used only for this specific purpose. By completing the form, you consent to the collection, storage, and use of your information.
